Purpose
Ensuring that all disagreements/complaints raised by members, including Committee members, volunteers and community members are dealt with in an equitable and reasonable manner.
Policy
Canadian Bay Calisthenics College formally recognises that associates with the Club may, from time to time, have grievances or complaints that need to be resolved effectively in the interest of maintaining good relationships and a sound environment for the Club.
Canadian Bay Calisthenics College believes that:
• People have the right to have their grievances receive careful consideration through established processes that are timely and based on fairness and respect
• The best resolution is one that is reached cooperatively and informally where possible prior to a formal complaint being lodged in writing
• A person making a complaint or airing a grievance will not be disadvantaged in anyway as a direct result
• Where a formal complaint is received by the Committee it will be considered in a timely and confidential manner and documented collaboratively with the steps taken to achieve a resolutionCanadian Bay Calisthenics College takes the following steps in resolving a grievance or complaint:
1. The parties to the dispute must meet and discuss the matter in dispute and, if necessary, resolve the dispute within fourteen (14) days after the dispute has come to the attention of all parties.
2. If the parties do not resolve this dispute, then the parties must, within ten (10) days hold a meeting in the presence of a mediator ,
The mediator must be:
a) A person chosen by agreement between the parties, or
b) In the absence of an agreementi. In the case of a dispute between a Member and another Member, a person appointed by the Committee of the Association, or
ii. In the case of a dispute between a Member and the Association, a person who is a mediator appointed or employed by the Dispute Settlement Centre of Victoria (Department of Justice). The mediator can be a member of the Association, and cannot be a party contending the dispute3. The parties to the dispute must, in good faith, attempt to settle the dispute by mediation.
4. The mediator, in conducting the mediation, must
a) Give the parties to the mediation, every opportunity to be heard, and
b) Allow due consideration by all parties of any written statement submitted by any party, and
c) Ensure that natural justice is accorded to the parties to the dispute throughout the mediation process.5. The mediator must not determine the dispute.
Seeking resolution
If the mediation process does not result in the dispute being resolved, the parties may seek to resolve the dispute in accordance with the Act or otherwise at law.

Our Commitment
Electronic communication is essential for sharing club news and information with our members. Our communication will be timely, appropriate and related to club business.
What We Will Do
We use a range of electronic tools to communicate with our members.
Our communication will protect members’ privacy, maintain clear boundaries and ensure that bullying and harassment does not occur.
A webmaster will be appointed to provide accountability and control over material published on our club’s website and any related discussion groups or social media websites, such as Facebook and Instagram

• Our website will include current information on competitions and social events
• No offensive content or photos will be published.
• We will seek feedback from members to improve the information available on the site.SMS and Email
Committee members, coaches and team managers may use SMS and email to provide information about competition, training, club-sanctioned social events and other club business, however:
• SMS messages should be short and about club/team matters
• Email communication will be used when more information is required
• communication involving children will be directed through their parents.Social Media Websites
• We treat all social media postings, blogs and status updates as public ‘comment’.
• Postings (written, photos or videos) will be family-friendly and feature positive club news and events.
• No personal information about our members will be disclosed.
• No statements will be made that are misleading, false or likely to injure a person’s reputation.
• No statements will be made that might bring our college into disrepute.
• Abusive, discriminatory, intimidating or offensive statements will not be tolerated. Offending posts will be removed and those responsible will be blocked from the site.What We Ask You to Do
We expect our members to conduct themselves appropriately when using electronic communication to share information with other members or posting material on public websites connected to the club.
Electronic communication:
• should be restricted to club matters
• must not offend, intimidate, humiliate or bully another person
• must not be misleading, false or injure the reputation of another person
• should respect and maintain the privacy of members• must not bring the club into disrepute.Coaches and others who work with children and young people must direct electronic communication through the child’s parents.
Non-compliance
Members may face disciplinary action for sending inappropriate electronic communication or posting online content or comments that harass, offend, intimidate or humiliate another member, as outlined in our member protection policy or code of conduct. Under certain circumstances, cyber bullying (e.g. bullying that is carried out through an internet service such as email, a chat room, discussion group, instant messaging or website) is a criminal offence that can be reported to the police. In addition, members who publish false or misleading comments about another person in the public domain (e.g., Facebook and Instagram) may be liable for defamation.

Our Commitment
Canadian Bay Calisthenics College promotes and supports an open and fair process for the selection of teams. Selection will be based on clear criterion, made aware to pupils, and parents, at the commencement of the year.
What We Will Do
Selection Criteria:
Calisthenics is a team sport and every team member’s participation is vital to the overall result achieved. Canadian Bay’s Team Selection will be based mainly on performance, however, Coaches may also consider:• Demonstration of commitment, relating to attendance at class and extra practices and;
• Abiding by College Rules, and doing what is expected of them.
Additionally, pupils:o Are required to hold financial memberships with the College
o Will be selected purely on ability
o will be selected on their performance, commitment, values and behaviour, not personal attributes or circumstancesSelection Process:
• Team selection is the exclusive privilege of the Coach and the Team Selection Panel. The team selection panel will hold this privilege following strict criterion, available on request.
• The Coach, in confirmation with the Team Selection Panel, will confirm the appropriate time to commence the procedure, with written acknowledgement presented to pupils.
• Upon request, pupils will be provided with explanations if unsuccessful and feedback to improve for future consideration.
• Selection criteria, available on request, will be regularly reiterated during the year, allowing pupils to be reminded of what is expected of them during the season
• If pupils, or parents of pupils, have concerns about the outcome of team selection, this should first be discussed with the Coach. If then, one’s concerns are not rectified, and the pupil believes s/he has not been treated in accordance with this policy, a formal letter of concern must be submitted to the Committee, resolved according to the Grievance Procedure
What We Ask You to Do
Selection Committee
• Ensure pupils are aware of, and comprehend the selection criteria
• Have a copy of the selection criteria on hand, making it available upon request
• Provide copies of the final selection, with evidence, to the CommitteePlayers
• Ensure you are familiar with all criterion, and expectations
• Speak up immediately if you have any concerns relating to Team Selection, and seek feedback from your coach to improve performance
